Our Starter Kit helps you assess your organization’s current AI usage and provides a few guardrails, while falling short of a full AI policy.
Our AI Policy Template for Nonprofits is a fully customizable document that helps nonprofits establish clear, practical standards for responsible AI use across staff, volunteers, board, and contractors.
Our AI Governance Framework Template is a comprehensive blueprint that helps nonprofits define clear roles, decision-making processes, and safeguards for AI use across their organization.

You could try — but what you'd get from a single prompt is a first draft, not a finished tool. These resources started with AI too, but were then refined over weeks — tested, restructured, and shaped by decades of direct nonprofit experience to make sure the right sections, language, and safeguards were actually in place. That kind of refinement is hard to replicate in one sitting, even with the best prompt.

These documents are designed for someone handling your organization’s Legal or HR responsibilities to customize to your size, structure and practice. They are more complete than an AI-drafted “one size fits all” set of resources, but are flexible enough to work for nearly any small to mid-sized nonprofit.

While the Starter Kit falls short of an AI “policy”, the other two documents, once implemented properly by your organization, would satisfy most funder or board requirements for proper AI governance. Note, however, that these are practical guides, and not a substitute for legal review.

Mission:Coactive was formed in early 2026 by Pat Rhoads, a long-time nonprofit marketing and communications professional. Over the last 18 months, he began integrating AI into his work, and began seeing both the tremendous promise, and the tremendous risk. Mission:Coactive is there to help other nonprofits navigate that balance.

Most people are familiar with prompt engineering – a set of instructions entered into an AI tool with the goal of receiving a specific output. Loop engineering is the evolution of prompt engineering, where a whole feedback and improvement process is built into the instructions. Knowing these facts is not the same as knowing how to do them well. We offer a service where we can use our experience to create reusable prompts or loops for repeatable jobs that you use or want to use generative AI to assist with them.

While our AI governance materials are designed to be long-term solutions, we can’t predict exactly the nature of changes coming to AI tools or regulations around their usage. Updated governance may be something your organization might need in the future. Whether or not regulations change, it is a good idea to review the policies you put in place on a regular basis, such as annually.

Yes — both the AI policy and the governance framework resources address common compliance areas like PII, PHI, and funder reporting requirements, along with several other areas nonprofits typically need to cover. Because every organization's specific obligations differ, we recommend having your team confirm the framework covers anything unique to your funders, state, or sector during the completion process.

Any organization that needs some form of AI governance would get significant benefit from these materials. However, large nonprofits would probably have a level of complexity that would require something more custom-built than what these documents offer.
